cancellation information

Please remember your booking is in two parts: part one is for attendance at the convention only and is handled by the organisers of the 2020 Convention. Part two is for accommodation on the University of Limerick campus and arranged directly through UL.

 Refunds discussed here refer solely in relation to Part 1, the Convention fee.

 

substitution policy

The organisers will happily accept a substitute in your place. As the original booker, you must arrange any substitutions on your own. You must email the organisers notifying them of this change. Please make sure to copy the substitute in the email  

An administration fee of €25 is required to complete the change. Payment of the administration fee or any other transfer of monies must be negotiated between both parties. 

Once the parties have let the organisers know of this change and have paid the €25 administration fee, the new registrant (substitute) must alert the University of Limerick of the change in name for the accommodations (if already booked). Please note that the 2020 Convention organisers are not responsible for any change in the terms of accommodation at the time of the change.

 

cancellation refund schedule

All other refunds must comply with the terms and the schedule below.  which is based on the contract we have entered into with the University of Limerick:

65% of convention fee paid will be refunded if the cancellation is notified by 1st January, 2020

35% of convention fee paid will be refunded if the cancellation is notified in writing by 1st April, 2020

10% of convention fee paid will be refunded if the cancellation is notified in writing by 1st June, 2020

No refunds can be made after the 1st June but a substitution may still be made in accordance with the above.

If the booking was an Early Bird, subject to the €100 discount the €100 will deducted from the refund.

All refunds will be subject to an administration fee of €25 which will be deducted from the refund.
